About the role
Key responsibilities & impact- Provide advanced tactical and strategic administrative support to three upper-level executives
- Maintain key records, compile data for reports, prepare expense reports, and prepare/edit executive presentations
- Own executive calendars, schedule complex meetings, manage conflicts, prioritize appointments, and prepare detailed agendas
- Take meeting minutes, follow up on action items, and anticipate future scheduling needs
- Screen and prioritize executive phone calls and emails, respond to routine inquiries, and draft responses on behalf of executives
- Manage all aspects of executive travel, including international trips, visa applications, travel budgets, last-minute changes, and emergencies
- Handle sensitive and confidential information and maintain strict confidentiality protocols
- Generate statistical and analytic reports for strategic planning and prepare presentations with relevant insights
- Serve as a primary point of contact between executives and internal/external stakeholders
- Coordinate administrative work within the department/division and across other departments/divisions and companies
Requirements
What you’ll need- High School Diploma/General Education Diploma (GED)/Higher Secondary education or commensurate work experience or demonstrated competence
- Typically 8+ years of related work experience, preferably in senior/advanced general administrative support, office services, or a related field
- Demonstrated experience working in a global environment, adept at managing relationships and scheduling across HP, customers and resellers
- Experience successfully working on multiple issues/projects simultaneously in a fast-paced environment
- Proficient in Microsoft Office (Outlook, Word, Excel, and PowerPoint) and Teams
- Ability to learn and manage multiple internal tools and platforms, including SharePoint, Teams, travel and expense systems
- Willingness and ability to travel approximately 25%
- Ability to handle sensitive and confidential information with discretion
- Strong initiative and technical knowledge to resolve highly complex problems
