About the role
Key responsibilities & impact- Provide exemplary administrative support to the SVP & Deputy General Counsel for Trust & Privacy, Trade, and Enterprise Operations Legal
- Manage calendars for the Leadership Team, including meeting prioritization and resolving calendaring conflicts
- Coordinate with other Executive Assistants to ensure smooth calendar operations and align meetings with the L1 Executive Leadership Team as needed
- Manage travel-related needs and resolve issues promptly
- Complete accurate expense reports efficiently and on time
- Plan and schedule large and small meetings, including travel, hotel bookings, and ground transportation
- Ensure adherence to HP policies and procedures related to travel and expenses
- Provide leadership and partnership to other Legal Assistants for alignment and consistent experiences
- Build a strong network to ensure timely and accurate completion of work
- Resolve complex assignments using judgment, initiative, and specialized knowledge
- Complete work with minimal supervision
Requirements
What you’ll need- Ability to work independently
- Strong PowerPoint skills (Mandatory)
- Ability to run meetings with high-level executives
- Strong time management and ability to meet deadlines
- Excellent verbal and written communication skills
- Strong organizational skills and ability to multitask
- Strong problem-solving and decision-making skills
- Ability to act as a gatekeeper and escalate relevant information to executives as needed
- Skilled in the use of standard office equipment, copiers, Zoom, Teams, and projectors
- Ability to work effectively with minimal supervision
- Strong interpersonal skills and relationship building
- Ability to treat confidential information with appropriate discretion
- Exceptional attention to detail
- Intermediate or Advanced with Microsoft Office Suite and communication tools
- Ability to perform under pressure
- Notary certification preferred
- High school graduate required; two years or more of college-level education highly preferred
- Minimum of 7+ years of general legal experience, or equivalent combination of experience and college-level education
- Willingness to travel approximately 25%
