About the role

Key responsibilities & impact
  • Provide advanced tactical and strategic administrative support to upper-level executives
  • Maintain key records and compile data for reports
  • Prepare expense reports and edit executive presentations
  • Own executives' calendars, schedule complex meetings, manage conflicts, and prioritize appointments
  • Prepare meeting agendas, take minutes, follow up on action items, and anticipate future scheduling needs
  • Screen and prioritize executive phone calls and emails
  • Respond to routine inquiries and draft responses on behalf of executives
  • Manage all aspects of executive travel, including international trips, visa applications, travel budgets, and emergencies
  • Handle sensitive and confidential information while maintaining strict confidentiality protocols
  • Generate statistical and analytic reports for strategic planning
  • Prepare presentations with relevant insights for executives
  • Serve as a primary point of contact between executives and internal/external stakeholders
  • Coordinate administrative work within and across departments, divisions, and companies
  • Supervise entry-level executive assistants or administrative support staff

Requirements

What you’ll need
  • High School Diploma/General Education Diploma (GED)/Higher Secondary education or commensurate work experience or demonstrated competence
  • Typically has 8+ years of related work experience, preferably in senior/advanced general administrative support, office services, or a related field
  • Advanced tactical and strategic administrative support experience
  • Experience maintaining key records and compiling data for reports
  • Experience preparing expense reports and executive presentations
  • Executive calendar management and complex meeting scheduling
  • Experience screening and prioritizing phone calls and emails
  • Executive travel management, including international trips and visa applications
  • Ability to handle sensitive and confidential information with discretion
  • Experience generating statistical and analytic reports and presentations
  • Experience coordinating administrative work across departments
  • Experience supervising entry-level executive assistants or administrative support staff
