About the role

Key responsibilities & impact
  • Answers phones and greets patients courteously, clearly, and efficiently
  • Ensures timely internal/external communication via phone, email, or in-person regarding appointments, instructions, and follow-ups
  • Handles patient concerns and escalates concerns to administrative manager or clinical staff when necessary
  • Schedules appointments and ancillary services following provider protocols
  • Coordinates referral processes
  • Coordinates surgical scheduling dates, enters them into EPIC, ensures pre-authorization within required timelines, and confirms pre-testing and documentation are complete
  • Manages check-out processes and facilitates time-of-service payments, copayments, and outstanding balance collections
  • Obtains authorizations and follows up on status through completion
  • Collects patient information to ensure timely billing
  • Documents in patient charts and scans patient records per hospital guidelines
  • Uses electronic medical records, scheduling, billing, and Microsoft Office software
  • Operates phones, scanners, copiers, printers, and other front-desk technology
  • Prioritizes tasks and manages workload to meet patient and departmental goals
  • Resolves issues, assists colleagues, and supports team productivity
  • Covers lead office responsibilities during Office Manager absences
  • Assists with training and covering support staff as needed

Requirements

What you’ll need
  • High School Diploma or equivalent (G.E.D.), may include specialized or vocational courses
  • Minimum 2 years of experience in Healthcare/Medical-Medical Secretary
  • Excellent verbal and written communication skills
  • Strong customer service orientation
  • Superior written and oral communication skills

  • Ability to follow through with tasks to completion
  • Strong organizational and problem-solving skills
