About the role

Key responsibilities & impact
  • Answers phones and greets patients courteously, clearly, and efficiently
  • Communicates with patients via phone, email, or in person regarding appointments, instructions, and follow-ups
  • Handles patient concerns and escalates issues to administrative manager or clinical staff when necessary
  • Schedules appointments and ancillary services according to provider protocols
  • Coordinates referral processes
  • Coordinates surgical scheduling dates, enters them into EPIC, ensures pre-authorization, and verifies pre-testing and documentation
  • Manages check-out processes and facilitates patient payments, copayments, and outstanding balance collections
  • Obtains authorizations and follows up with appropriate teams
  • Collects patient information for timely billing
  • Documents in patient charts and communicates with physicians and clinical teams
  • Scans patient records according to hospital guidelines
  • Uses electronic medical records, scheduling, billing, and Microsoft Office systems
  • Operates phones, scanners, copiers, printers, and other front-desk technology
  • Learns and adapts to new systems, policies, and technologies
  • Prioritizes workload to meet patient and departmental needs
  • Resolves issues, assists colleagues, and supports team productivity
  • Covers the Office Manager role during absences
  • Assists with training and covering support staff as needed

Requirements

What you’ll need
  • High School Diploma or equivalent (G.E.D.), may include specialized or vocational courses
  • 2 years of Healthcare/Medical-Medical Secretary experience
  • Excellent verbal and written communication skills
  • Strong customer service orientation
  • Superior written and oral communication skills
  • Exceptional customer service skills
  • Ability to follow through with tasks to completion
  • Strong organizational and problem-solving skills
  • Ability to multitask in a fast paced environment
