About the role

Key responsibilities & impact
  • Answer phones and greet patients courteously, clearly, and efficiently
  • Communicate with patients by phone, email, and in person regarding appointments, instructions, and follow-ups
  • Handle patient concerns calmly and escalate them to administrative managers or clinical staff when necessary
  • Schedule appointments and ancillary services according to provider protocols
  • Coordinate referral processes
  • Coordinate surgical scheduling dates, enter them into EPIC, and ensure pre-authorization, pre-testing, and documentation are complete
  • Manage check-out processes and facilitate time-of-service payments, copayments, and outstanding balance collections
  • Obtain authorizations and follow up on their status through completion
  • Collect patient information to support timely billing
  • Document accurately in patient charts and scan records according to hospital guidelines
  • Use electronic medical records, scheduling, billing, Microsoft Office, and front-desk technology
  • Prioritize workload, resolve issues, assist colleagues, and support team productivity
  • Cover the Office Manager’s lead responsibilities during absences
  • Assist with training and covering support staff as needed

Requirements

What you’ll need
  • High School Diploma or equivalent (G.E.D.), may include specialized or vocational courses
  • Minimum 2 years of healthcare/medical secretary experience
  • Excellent verbal and written communication skills
  • Strong customer service orientation
  • Superior written and oral communication skills
  • Exceptional customer service skills
  • Ability to follow through with tasks to completion
  • Strong organizational and problem-solving skills
  • Ability to multitask in a fast paced environment
