About the role
Key responsibilities & impact- Provide comprehensive administrative and operational support to the Director and Office Manager
- Manage and prioritise the Director’s email inbox, including triage, categorisation, priority flagging, and drafting routine replies
- Update HubSpot CRM, log client interactions, and generate weekly reports and dashboards
- Process Fireflies/Fathom meeting transcripts into action items, distribute them, and track follow-ups
- Convert voice notes and Loom recordings into written SOPs
- Schedule Instagram posts, manage the content calendar, and respond to comments and direct messages
- Post SEEK job ads, screen applications, and prepare shortlist summaries
- Conduct competitor research and support tender formatting, proposal preparation, and presentations
- Manage calendars and coordinate meetings with clients and subcontractors
- Compile and compare monthly fuel-card and petrol-usage statements
- Source vehicle insurance and servicing quotes and prepare quarterly cost comparisons
- Chase and reconcile site-staff timesheets and liaise with the external bookkeeper for payroll processing
- Track training and compliance expiry dates, book refresher courses, and send staff reminders
- Perform data entry, filing, digital archiving, stationery and office-supply research, and general administrative tasks
Requirements
What you’ll need- 2+ years in a Virtual Assistant, Executive Assistant, or administrative support role, preferably supporting a small business owner or director
- Excellent written and spoken English
- Availability during AEST business hours (8:00 AM–5:00 PM Monday–Friday)
- Proactive problem-solving and initiative
- Strong attention to detail
- Working experience with Microsoft 365 (Outlook, Excel, Word, Teams, SharePoint)
- Working experience with HubSpot CRM
- Basic familiarity with Xero or MYOB
- Experience with Australian businesses or clients
- Ability to work with dedicated focus during business hours and not juggle multiple other clients
- Disclosure of existing ongoing roles or client work
- LinkedIn profile must reflect the engagement as “Independent Contractor”
