About the role

Key responsibilities & impact
  • Provide administrative support to a leader
  • Coordinate and maintain multiple executives' or one senior executive's calendar and daily schedule
  • Screen incoming correspondence and communications and respond independently when possible
  • Anticipate executive needs and resolve operational and administrative issues proactively
  • Manage logistics for internal and external meetings, including rooms, catering, agendas, materials, and meeting minutes
  • Arrange travel plans and itineraries
  • Compile travel documents and ensure expense reports and purchase orders are completed accurately and within budget
  • Research, compile, and summarize complex or large quantities of data into concise work products
  • Draft reports on major project status, action items, and operational updates
  • Draft, edit, and distribute approved communications on behalf of the leader
  • Maintain confidential and sensitive information with professionalism, diplomacy, and discretion
  • Act as a trusted advisor on issues and trends
  • Use internal systems and corporate resources to improve efficiency
  • Mentor, coach, and provide feedback to other team members

Requirements

What you’ll need
  • Associate's degree or equivalent experience
  • Demonstrated experience directly supporting and working with executives
  • Ability to work in a flexible, fast-paced environment while managing a high volume of responsibilities
  • Strong oral and written communication skills
  • Strong organizational, multitasking, and time management skills
  • Exceptional follow-through and ability to perform under deadline pressure
  • Ability to handle a high degree of stress while maintaining quality and professionalism
  • Strong interpersonal skills and discretion when handling sensitive information
  • Self-motivated, proactive, and able to work independently and in a team environment
  • Up to 5% travel time required
  • Proficiency with Microsoft Office and Microsoft Outlook or equivalent email and calendar software
  • Ability to prepare executive-level presentations, agendas, and reports
  • Experience anticipating executive needs and proactively resolving operational and administrative challenges
  • Experience drafting, editing, and distributing communications on behalf of senior leaders
  • Strong professional business writing and stakeholder communication skills
  • Experience researching and summarizing complex or large quantities of data
  • Strong critical thinking skills
