About the role

Key responsibilities & impact
  • Support IDEA project managers and teams by scheduling meetings, preparing agendas, and documenting action items and meeting minutes
  • Manage project documentation and ensure files, records, and data are up to date and accessible
  • Coordinate communication between cross-functional teams and departments
  • Track project timelines, milestones, and deliverables and address issues that arise
  • Assist with preparing reports, presentations, and other materials to support project progress and decision-making

Requirements

What you’ll need
  • Prior administrative experience ideal
  • Excellent organizational and multitasking skills, with the ability to prioritize and manage multiple project tasks effectively
  • Strong communication and interpersonal skills, with a collaborative approach to working across departments and diverse teams
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
  • Familiarity with project management tools is advantageous
  • Detail-oriented, proactive, and adaptable, with a strong commitment to supporting innovative and data-driven projects
  • Willingness to travel as required (approximately 5%)
  • Legal right to work in the country where the role is based
