About the role
Key responsibilities & impact- Liaise with Executive Assistants to develop, operate and maintain administrative processes
- Assist Executive Assistants across London, New York and Singapore with ad hoc projects and tasks
- Support the Chief of Staff with ideas and initiatives to help the business grow
- Support the Head of Community and Events Assistant with Illuminate events, including venue sourcing, event setup, CRM and list hygiene, and database updates
- Provide ad hoc support to the Investment team, including travel assistance and administrative support to Finance
- Help ensure the smooth day-to-day running of the London office
- Greet clients and visitors, arrange catering, handle incoming calls, order stationery and manage meeting room bookings
- Help create a welcoming office environment and coordinate office-related projects and tasks
- Support company policies and onboarding with the HR Business Partner and Chief of Staff
- Track, monitor and action office health and safety and legal obligations
- Help keep the office budget on track with the Chief of Staff and Finance team
- Coordinate office maintenance, facilities and IT-related equipment
- Keep London staff updated with internal office communications
- Support team birthday, anniversary and engagement initiatives
- Help arrange team socials and breakfasts
- Contribute hands-on to team culture and values
Requirements
What you’ll need- Excellent IT skills and good knowledge of MS Office packages, especially Outlook
- Familiarity with Affinity, Notion and Navan would be an advantage
- Exceptional attention to detail
- Excellent organisational skills, including prioritising, multitasking and making decisions under pressure
- Good verbal and written communication skills
- Ability to think on your feet, use initiative and take ownership of tasks
- Entrepreneurial and solutions-oriented approach
- Collaborative, energetic and passionate team-player approach
- Hands-on, proactive and adaptable approach
- Willingness to learn and absorb new information
- Ability to work Monday to Friday between 8:30am and 5:30pm
- Expected to be in the London office 4 days a week
