About the role

Key responsibilities & impact
  • Provide maternity leave cover for the fractional Executive Assistant
  • Support the CEO with inbox, diary, calendar, time management, personal administration, and follow-up tracking
  • Gatekeep the CEO’s time and schedule meetings and appointments
  • Organise domestic and international travel, including flights, lodging, and logistics
  • Plan, organise, book, and budget internal team events
  • Create processes and systems to improve the CEO’s effectiveness
  • Support the COO as an office manager and assist the wider team with operations requests
  • Manage expenses, invoicing, and internal finance records for submission to accounting partners and payroll processing
  • Review and approve team travel requests and make bookings for colleagues
  • Act as the first point of contact for day-to-day team queries, meeting support, internal processes, policies, and IT questions

Requirements

What you’ll need
  • Proven EA/PA experience, ideally 5–6 years working with senior executives in a fast-paced environment
  • Available to start by mid-October 2026 for handover
  • Professional and discreet; able to handle confidential information
  • Excellent communication and teamwork skills
  • Can-do attitude and willingness to handle tasks of all sizes
  • Exceptional attention to detail and document proofreading ability
  • Creative problem-solving skills
  • Dependable and able to support critical business processes
  • Comfortable with or able to quickly learn G Suite products, including Google Sheets and Gmail
  • Comfortable with Xero for invoicing
  • Comfortable with Slack
  • Experience with an expense management tool/system; the company uses Xero
  • Comfortable working Monday–Friday, 15–20 hours per week
  • Able to work UK time hours between 8am and 6pm
