About the role

Key responsibilities & impact
  • Coordinate all aspects of patient onboarding, including referral processing, patient registration, and therapy scheduling
  • Serve as the first point of contact for patients through inbound and outbound calls, text messaging, and other communication channels
  • Coordinate and manage patient intake, registration, referral processing, and scheduling in the practice management system
  • Create and maintain accurate patient accounts, including demographic, insurance, and referral information
  • Schedule new and existing patient appointments according to established guidelines
  • Communicate appointment and care information, check-in requirements, directions, referral requirements, and financial responsibilities
  • Verify, document, and maintain insurance information and apply payer, network, and authorization knowledge
  • Monitor and manage work queues, reports, scheduling modules, and workflow tools
  • Respond to patient, provider, and staff inquiries and resolve issues
  • Maintain accurate patient documentation and communications
  • Protect patient confidentiality and comply with privacy and security requirements
  • Work independently with minimal supervision
  • Perform other duties as assigned

Requirements

What you’ll need
  • High school diploma, GED, or equivalent required
  • Minimum of one year of customer service experience required
  • Healthcare customer service experience preferred
  • Previous healthcare setting experience involving patient registration, intake, referral coordination, appointment scheduling, or medical office operations preferred
  • Call center or high-volume patient contact experience preferred
  • Proficiency with Microsoft Office, including Word, Outlook, and Excel
  • Strong written and verbal communication skills
  • Experience with electronic medical records (EMR) and/or practice management systems preferred
  • Ability to protect patient confidentiality and comply with HIPAA, PHI, privacy, and security requirements
  • Ability to comply with company policies, procedures, business ethics guidelines, applicable laws and regulations, including HIPAA, Stark, and OSHA
  • Reliable attendance and ability to meet deadlines
  • Ability to prioritize workload, handle interruptions, and work efficiently
  • Ability to communicate respectfully and professionally in face-to-face, phone, and email interactions
  • Ability to apply logical thinking to define problems, establish facts, and draw valid conclusions
  • Ability to sit for extended periods, up to 8 or more hours per day
  • Ability to lift and carry office supplies or files weighing up to 20 pounds
