About the role
Key responsibilities & impact- Implement centrally designed technology, tools, templates, and processes at individual veterinary hospital locations
- Populate systems, migrate data, and complete system configuration and setup activities
- Execute assigned tasks for technology implementations, system conversions, and program rollouts on schedule
- Communicate directly with hospital teams throughout implementation and provide troubleshooting support
- Maintain accurate system data and configurations as new veterinary hospitals come online or existing hospitals change
- Serve as a trusted resource for veterinary hospital teams using Strategic Initiatives programs and technology
- Respond to questions and requests related to practice management systems, phone systems, client engagement tools, AI solutions, and other supported programs
- Independently troubleshoot and resolve site-specific issues whenever possible
- Escalate issues requiring system-level, policy, or centralized changes
- Monitor site-level performance and identify opportunities for improvement
- Review metrics such as appointment reminder compliance, call handling, virtual assistant performance, and appointment bookings
- Identify hospitals needing additional training, support, or follow-up
- Share feedback and recommendations to improve future implementations
- Maintain project trackers, hospital records, implementation schedules, and status updates
- Provide leadership with visibility into project progress, challenges, and outstanding items
- Develop reusable documentation, process guides, and job aids
- Document solutions for replication across multiple veterinary hospitals
- Communicate with hospital managers, regional leaders, and cross-functional partners
- Provide frontline support for PIMS, Weave phone systems, and AI-powered virtual assistants
- Develop deeper expertise in a primary focus area and support other Strategic Initiatives team members
Requirements
What you’ll need- Highly detail-oriented with the ability to manage multiple projects, priorities, and hospital requests simultaneously
- Comfortable working through ambiguity and solving problems without always having a predefined answer
- Strong Microsoft Excel and documentation skills
- Ability to work independently while proactively communicating project status, challenges, and needs
- Excellent written and verbal communication skills
- Professional, service-oriented approach when working with veterinary hospital teams and leaders
- Comfortable learning new software and technology platforms quickly
- Ability to explain technology, workflows, and processes clearly to others
- Strong organizational and follow-through skills
- Ability to prioritize competing deadlines in a fast-paced, multi-site environment
- Experience working in the veterinary, animal health, healthcare, medical, or pet care industry (preferred)
- Experience supporting multi-site, multi-location, franchise, or consolidator organizations (preferred)
- Hands-on experience with a veterinary practice management system (PIMS) (preferred)
- Experience with veterinary software, cloud-based phone systems, client communication platforms, appointment scheduling technology, or AI tools (preferred)
- Experience with technology implementations, system conversions, process improvement, or project coordination (preferred)
- Experience training or supporting end users on new software or technology (preferred)
