About the role

Key responsibilities & impact
  • Serve as the first point of contact for executives in person and by phone
  • Maintain and protect highly confidential corporate information
  • Manage executives’ schedules, meetings, and appointments
  • Coordinate meeting logistics, agendas, IT equipment, presentations, catering, and attendee updates
  • Produce presentations and prepare letters, emails, and other executive correspondence
  • Screen calls and route executive correspondence and emails
  • Prepare purchase orders, check requests, and executive expense reports
  • Manage corporate American Express card usage and submit payments
  • Coordinate conference calls and WebEx meetings
  • Arrange domestic and international executive travel
  • Schedule and manage employee and external company events
  • Support multifaceted project management initiatives
  • Manage vendor relationships
  • Create and maintain a branded company headquarters
  • Perform other duties as assigned

Requirements

What you’ll need
  • Minimum of 7 years’ experience supporting executives required
  • Experience supporting multiple executives preferable
  • Strong Microsoft Outlook scheduling experience
  • Extremely knowledgeable in Microsoft Office Suite such as Word, Excel, and PowerPoint
  • Exceptional verbal, written, presentation, and communication skills
  • Dependable, highly organized, and very detail oriented
  • Strong problem resolution and project management skills
  • Ability to act independently and use discretionary judgment
  • Ability to handle multiple priorities at any given time
  • Team-oriented
  • Superior interpersonal skills
