Key responsibilities & impact
  • Coordinate project and service labor efforts and ensure necessary parties are invited and prepared
  • Monitor and adjust schedules for changes or unexpected events
  • Communicate schedule changes promptly and document appointments in company databases
  • Coordinate project information with field technicians, crews, estimators, junior technicians, and general managers
  • Answer calls and emails, schedule and confirm appointments, and enter customer data into the company CMR
  • Organize workflow and manage project information flow between clients and the office
  • Manage the regional department schedule as the client point of contact
  • Respond to customer inquiries in person and by telephone
  • Identify service opportunities and route bids or information to estimators
  • Maintain collaborative relationships with supervisors and departmental leaders
  • Conduct post-project customer service follow-up and communicate feedback to management
  • Optimize technician scheduling based on skill level, job proximity, and workload
  • Monitor technician travel and balance workload
  • Capture lost timesheets and coordinate with customers and field technicians to support billing
  • Assist with billing and analyze job costs
  • Create customer deliverables and reports, populate data, and prepare Bluebeam print layouts
  • Use WIP to schedule proactively
  • Perform ad hoc office tasks as requested
