About the role

Key responsibilities & impact
  • Support smooth day-to-day operations across Intellect’s clinics.
  • Manage frontline client enquiries through WhatsApp, email, chat and calls.
  • Coordinate client registrations, appointment bookings, rescheduling and cancellations.
  • Maintain accurate client information and records in the Electronic Medical Record (EMR) and internal systems.
  • Support clinician scheduling and appointment coordination, including client follow-ups.
  • Support payment administration, including payment tracking, invoicing and reconciliation workflows.
  • Maintain operational trackers and support routine clinic reporting.
  • Escalate operational, client or clinical concerns to the appropriate team member.
  • Engage private and corporate clients and provide information about clinic services, clinicians, availability and administrative processes.
  • Guide clients through booking and onboarding and coordinate with internal teams to resolve enquiries and ensure continuity of care.
  • Support clinicians with administrative and scheduling matters.
  • Coordinate with Singapore-based Clinic Assistants and Health Solutions for coverage and handovers.
  • Support leave and business continuity coverage for backend clinic operations.
  • Support corporate service requests, eligibility verification, referral administration and appointment coordination.
  • Respond to relevant stakeholder enquiries.

Requirements

What you’ll need
  • Candidates should possess at least a Bachelor’s Degree or equivalent qualification.
  • Previous experience in healthcare administration, clinic operations, customer support, care coordination or a similar operational role is preferred.
  • Strong written and verbal communication skills.
  • Comfortable engaging with clients through WhatsApp, email and calls.
  • Responsible, meticulous, organised and able to work independently in a remote environment.
  • Strong attention to detail when managing client information, schedules and administrative workflows.
  • Comfortable working across multiple digital systems and proficient with technology.
  • Good command of written and spoken English. Additional language capabilities are advantageous.
  • Ability to work closely with a Singapore-based team and support clinic operating hours where required.
  • Comfortable with a rostered shift arrangement including evening shifts and Saturday coverage: 44 hours per week, including three night shifts weekly and two Saturdays per month (half day: 10:00 AM–2:00 PM).
  • Open to remote candidates based in the Philippines.
