About the role

Key responsibilities & impact
  • Provide day-to-day coordination and administrative support to the COO and Global Business Operations division
  • Manage calendars, meeting support, travel arrangements, conference calls, expense reporting, and information requests
  • Represent GBO priorities and strategy with internal and external stakeholders
  • Build cross-functional relationships and participate in executive leadership administrative meetings, retreats, and project teams
  • Manage the GBO SharePoint intranet and related communications and information repositories
  • Organize divisional and team meetings, communicate project updates and deadlines, and support team morale
  • Serve as the primary internal and external point of contact for the COO
  • Draft memos, presentations, correspondence, and briefing materials for the COO
  • Plan and execute monthly and quarterly GBO events and activities
  • Take meeting minutes, track follow-ups, delegate tasks, and advance action items
  • Maintain the COO’s calendar, monitor the inbox, track requests, and prepare materials for deadlines
  • Assist with the GBO budget, travel, divisional projects, expense reports, payment requests, invoices, timesheets, and IT tickets
  • Support onboarding and engagement of new GBO hires and interns/fellows
  • Develop technology, project management, human-centered design, user experience, web course, web page, and basic graphic design skills
  • Provide expertise on SmartSheet and other project management software
  • Identify and share operational needs, redundancies, and collaboration opportunities with the COO
  • Advise the COO on priorities based on cross-team engagement and operational needs
  • Participate in IJM’s community of spiritual formation

Requirements

What you’ll need
  • At least 5 years of experience providing top-level administrative support in a fast-paced, professional, multicultural environment
  • Bachelor’s degree in Business Administration or equivalent
  • Superior administrative capacity to manage many projects and tasks simultaneously and complete them with minimal oversight
  • Exceptional experience in Microsoft Office applications, including Word, Excel, PowerPoint, Outlook, and SharePoint
  • Customer service experience
  • Excellent planning and implementation skills
  • Ability to keep highly confidential information and issues private
  • Eager commitment to IJM's Core Values: Christian, Professional and Bridge-Building
  • Current authorization to work in the United States
  • Mature orthodox Christian faith, as defined by the Apostles’ Creed
  • Willingness to undergo background check, police clearance, and thorough reference review
