About the role
Key responsibilities & impact- Assist Events Managers with planning and coordination of Firm-hosted client events and external business development events
- Conduct venue and vendor research and compile event-planning information
- Assist with event themes, décor, invitations, promotional items, giveaways, nametags, handouts, and other materials
- Coordinate event-related services with external vendors
- Assist with venue arrangements, catering, materials, attendee needs, and other logistics
- Maintain event information and Firm and department event calendars
- Provide on-site event support
- Record, monitor, and update RSVPs and attendee information in the Firm's marketing automation platform
- Maintain accurate attendee lists, event records, and supporting documentation
- Prepare registration materials and attendee-facing materials
- Compile post-event attendance, cost, notes, and other data
- Assist with planning and coordinating webinars and virtual programs
- Support virtual event setup, testing, materials, invitations, and logistics
- Provide administrative and project support to the Events Managers and Marketing & Business Development team
- Process and submit event-related departmental expenses
- Prepare spreadsheets, presentations, event materials, and documents
- Conduct research for events and Marketing & Business Development initiatives
- Perform data entry and maintain marketing systems and files
- Communicate with venues, caterers, promotional vendors, attorneys, business professionals, clients, and guests
- Communicate project status, questions, and potential issues to Events Managers
- Perform additional duties and special projects as assigned
Requirements
What you’ll need- Current college student, or post-graduate student within two years of graduation
- Coursework in Marketing, Communications, Hospitality, Event Management, Business, Public Relations, or a related field required
- Prior internship, work, volunteer, or academic experience involving event planning, marketing, hospitality, customer service, or related activities preferred
- Interest in gaining experience in event planning, marketing, business development, or professional services
- Strong organizational and time management skills
- Strong attention to detail and commitment to accuracy and high-quality work
- Excellent written, verbal, and interpersonal communication skills
- Strong customer service orientation
- Ability to work independently while collaborating effectively within a team-oriented environment
- Ability to adapt to changing priorities and respond effectively to time-sensitive requests
- Proficiency with Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook
- Familiarity with social media platforms and digital marketing concepts preferred
- Experience with marketing automation, CRM, or event management technology preferred; DealCloud experience a plus
- Ability to learn and effectively utilize Firm technology and marketing systems
- Ability to exercise sound judgment, maintain confidentiality, and handle sensitive Firm and client information
- Ability to work occasional additional or adjusted hours
- Ability to travel occasionally to support Firm events
