About the role

Key responsibilities & impact
  • Own event programming for all spaces within One Times Square, including annual and seasonal programming strategy
  • Determine the mix, cadence, placement, scheduling, and feasibility of events and activations
  • Own and manage the master calendar for all spaces, including holds, confirmed events, blackout dates, and building activity
  • Communicate event activity and updates to Sales, Guest Experience, Property Management, Marketing, security, and engineering
  • Lead recurring working group meetings and maintain a forward-looking view of upcoming events
  • Set sales goals and KPIs with Elevate, Backal, Sponsorships, Sales leadership, and the Chief Operating Officer
  • Hold sales teams accountable and report performance, variances, risks, and corrective actions
  • Accompany sales teams on prospective client tours as the operational expert
  • Conduct formal event handoffs after executed contracts
  • Own execution of events from contract execution through event close-out
  • Establish client communication cadences, planning timelines, site visits, technical walk-throughs, run-of-show documents, and floor plans
  • Manage load-in/load-out schedules, dock assignments, freight elevator usage, vendors, building rules, safety protocols, and labor requirements
  • Own event and programming P&Ls, budgets, forecasts, billing, charge reconciliation, and variance reporting
  • Manage collection, review, approval, and tracking of certificates of insurance
  • Build and maintain event lifecycle SOPs, client-facing space guides, floor plans, technical specifications, load-in guidelines, policies, vendor lists, timelines, and FAQs
  • Train Sales, Guest Experience, and Property Management on SOPs and client resources
  • Lead post-event debriefs and incorporate lessons learned
  • Supervise, coach, hire, onboard, and train event operations staff and support teams
  • Coordinate guest experience, property management, marketing, security, engineering, janitorial, access control, promotional efforts, and brand consistency

Requirements

What you’ll need
  • 7+ years of experience in event programming, event operations, venue management, hospitality, or commercial real estate event programming
  • At least 3 years in a supervisory or leadership role
  • Experience setting programming strategy and managing a master calendar across multiple spaces and working groups
  • Experience owning and managing event or departmental P&Ls and budgets, including forecasting, cost control, and variance reporting
  • Experience working in a handoff-based model alongside dedicated sales teams, including setting, tracking, and reporting on sales goals and KPIs
  • Demonstrated experience building or scaling event processes, SOPs, and operational documentation
  • Working knowledge of COI requirements, insurance terminology, and risk mitigation
  • Strong understanding of load-in and load-out logistics, vendor management, and building operations
  • Excellent client-facing communication and presentation skills
  • Strong written communication skills
  • Strong financial acumen and ability to analyze P&Ls
  • Ability to hold cross-functional and sales teams accountable to goals
  • Ability to manage multiple events and competing priorities in a fast-paced environment
  • Proficiency with event management and calendar software such as Tripleseat, Cvent, Momentus, or similar
  • Proficiency with CRM tools and Microsoft Office
  • Bachelor's degree in hospitality, business, event management, or a related field
  • Flexible schedule required, including evenings, weekends, and holidays based on the event calendar
  • Must be able to work in a fast-paced, dynamic environment and accommodate adjusted schedules, travel, overtime, and evening/weekend hours
  • Must comply with company safety and operational rules
  • Must be able to walk and stand for a portion of the day and use necessary equipment
