About the role
Key responsibilities & impact- Act as a main point of contact for assigned conference support for ASTMH, MIM, and others as needed
- Support efficient management and implementation of technical activities
- Provide technical assistance in managing Jhpiego’s presence at the ASTMH Annual Meeting and MIM Conference
- Provide surge support for preparation, planning, coordination, communication, knowledge management, and reporting before and after conferences
- Manage attendee lists, registrations, visas, flights, and hotel reservations
- Support conference website presence and develop attendee booklets
- Track accepted abstracts and coordinate presentation and poster reviews, development, finalization, printing, and delivery
- Develop conference presence, attendance, communication, and activity plans
- Coordinate social media messages and provide real-time conference updates
- Coordinate meetings with donors and partners
- Develop final conference reports
- Manage MIM abstract calls, review processes, conference updates, Microsoft Teams sites, Excel trackers, booths, side meetings, and staff events
- Coordinate with technical leads, country offices, GECO, GPO, and other departments
- Manage conference budgets, expenses, vendors, contracts, supplies, registration feeds, and hotel payments
- Coordinate participant travel arrangements, visa processes, and invitation letters
- Support development of presentations and posters and ensure proper branding
Requirements
What you’ll need- Bachelor Degree with 3 years’ relevant working experience
- Demonstrated experience in managing conference preparation and presence in support of global health or development programs
- Experience developing communications products such as success stories, newsletters, infographics, briefs, and presentations
- Strong writing, editing, and organizational skills
- Ability to translate technical program information into clear, accessible content
- Ability to work across multiple country teams and manage competing priorities and short deadlines
- Understanding of branding and marking requirements for donor-funded projects is an advantage
- Experience using MS Office 365 suite, including PowerPoint, Excel, SharePoint, and Teams
- Experience using tools like JIRA
- Excellent oral and written command of English
