About the role

Key responsibilities & impact
  • Serve as the operational engine of JFF’s Marketing and Communications team
  • Develop, track, and manage marketing and communications project budgets
  • Establish and maintain project management standards, templates, and workflows in Asana
  • Own project intake, prioritization, and capacity planning processes
  • Develop project plans, resource assignments, estimates, timelines, and post-project needs
  • Lead resource planning and allocation across concurrent projects and workstreams
  • Identify and onboard vendors and contractors
  • Manage agency partners, freelancers, and external resources
  • Negotiate contracts, scopes of work, and service agreements with Contracts and Finance
  • Review and process vendor invoices, track external spending, and reconcile expenses
  • Maintain a centralized roster of freelancers, contractors, and external resources
  • Facilitate recurring meetings, agendas, decision-making processes, ownership, and follow-through
  • Design and maintain centralized systems for documents, assets, and resources
  • Identify workflow gaps and bottlenecks and implement efficiency solutions
  • Improve internal processes, SOPs, and operating norms
  • Coordinate Marketing and Communications with Finance, Contracts, and Program teams
  • Support onboarding practices for new team members
  • Report to the AVP, Enterprise Marketing & Communications

Requirements

What you’ll need
  • Strong track record of leading complex, multi-stakeholder projects from planning through execution
  • Typically 5–8+ years of relevant professional experience for Senior Manager-level hires, including full-time, part-time, internship, and/or freelance experience
  • Experience preferably supporting Marketing and Communications initiatives
  • Ability to establish project-management guardrails, align resources and expertise to project needs, and develop vendor and contract workflows
  • Comfort navigating ambiguity and brainstorming creative solutions
  • Highly organized with a strong instinct for building systems that improve reliability, clarity, communication, and follow-through
  • Strong written and verbal communication skills
  • Ability to build relationships and manage communications with external partners, especially freelancers and vendors
  • Ability to facilitate meetings, coordinate agendas and action steps, and keep teams focused on outcomes
  • Ability to learn and navigate multiple technology systems, including Asana, Salesforce, SharePoint, Outlook, Teams, and related project management and collaboration tools
