About the role

Key responsibilities & impact
  • Support the Vice President, Head of Integrated Drug and Tech Discovery, in the Interventional Oncology organization within Innovative Medicine
  • Provide limited support to leaders within the Integrated Drug and Tech Discovery team
  • Manage office day-to-day activities for onsite teams
  • Manage complex, multi-time-zone calendars
  • Prepare meeting materials, pre-reads, and logistics
  • Arrange travel, itineraries, accommodations, and expense reporting while ensuring policy compliance
  • Support Boston/Cambridge office activities and onsite meetings
  • Assist with team-specific and leadership-specific meetings, including logistics, speakers, and venues
  • Oversee and support fellow administrative professionals within the Interventional Oncology team
  • Provide backup coverage for other administrative staff when necessary
  • Collaborate with HR on job postings and interviews
  • Assist with onboarding and offboarding team members and contractors
  • Stay informed about company policies, procedures, and guidelines
  • Achieve results without day-to-day guidance
  • Manage sensitive documents and information with discretion and professionalism

Requirements

What you’ll need
  • Minimum high school diploma required
  • Associate degree preferred
  • Minimum eight (8) years of high-level assistant/office management experience required
  • Experience ideally in a fast-paced environment
  • Strong organizational skills
  • Excellent written and verbal communication skills
  • Attention to detail and ability to effectively multitask
  • Ability to manage multiple, sometimes conflicting priorities in a fast-paced and demanding environment
  • Ability to prioritize and execute tasks with minimal direction or supervision
  • Ability to interface with staff, senior-level leaders, and executive leadership of internal/external partners
  • Highly proficient in Microsoft Office, including Word, Outlook, Excel, and PowerPoint
  • Proficient with eMarketplace and Concur
