About the role

Key responsibilities & impact
  • Provide comprehensive administrative support to assigned leaders and teams, including calendar management, meeting coordination, and follow-up
  • Coordinate meetings, conference calls, and onsite/offsite events, including logistics, materials, and attendee communications
  • Arrange domestic and international travel and prepare expense reports in accordance with company policies
  • Prepare, format, and distribute internal and external correspondence, presentations, and reports
  • Serve as a point of contact for internal stakeholders and external partners
  • Maintain files, trackers, and records supporting operational, security, facilities, and real estate activities
  • Support departmental projects and initiatives by tracking actions, deadlines, and deliverables
  • Identify opportunities to improve administrative processes and enhance team efficiency

Requirements

What you’ll need
  • High school diploma or equivalent required
  • 2 years of administrative or office support experience
  • Proficiency in Microsoft Office applications (Outlook, Word, Excel, PowerPoint)
  • Clear written and verbal communication skills
  • Ability to handle sensitive and confidential information with discretion
  • English required
  • Occasional domestic travel may be required
  • Associate’s or Bachelor’s degree in Business Administration or a related field preferred
  • Experience supporting multiple leaders or cross-functional teams preferred
  • Experience in a corporate, facilities, real estate, security, or operations environment preferred
  • Familiarity with travel and expense management systems preferred
  • Demonstrated ability to anticipate needs and proactively solve problems preferred
  • Strong attention to detail and follow-through preferred
  • Strong organizational skills with the ability to manage multiple priorities and deadlines preferred
  • No certifications required
