About the role
Key responsibilities & impact- Provide direct administrative support to assigned managers, including calendar management, domestic and international travel and expense coordination, and support for programs and initiatives
- Coordinate sophisticated and highly fluid calendars, including meetings with internal and external partners
- Support onboarding and offboarding transitions for team members
- Coordinate and support team onsite/offsite meetings and volunteer events
- Maintain department materials, including organization charts, distribution lists, and conference rooms
- Manage related repositories, including SharePoint
- Utilize HR systems, productivity tools, and portal technology, including Workday, SharePoint, ZOOM, MS Teams, GlobalView, AskGS, IRIS, and eMarketplace
- Manage statements of work and purchase orders; track expenditures and follow up on actual expenses
- Achieve results in the absence of day-to-day mentorship
- Maintain strict confidentiality and exercise independent discretion and judgment to resolve complex problems
- Provide logistical support for large departmental and group meetings, including Town Hall meetings, meeting rooms, catering, AV support, and agendas
- Handle external partner relationships, including scheduling meetings and facilitating contracting efforts as needed
Requirements
What you’ll need- High School/Secondary degree or equivalent required
- A minimum of 4 years’ experience in administrative or office support is required
- Basic knowledge of Microsoft Office applications (Outlook, Word, Excel, PowerPoint)
- Familiar with Concur or expense reporting systems
- Strong written and verbal communication skills
- Ability to manage routine tasks independently and prioritize work effectively
- Up to 5% of travel may be required
