About the role

Key responsibilities & impact
  • Provide direct administrative support to assigned managers, including calendar management, domestic and international travel and expense coordination, and support for programs and initiatives
  • Coordinate sophisticated and highly fluid calendars, including meetings with internal and external partners
  • Support onboarding and offboarding transitions for team members
  • Coordinate and support team onsite/offsite meetings and volunteer events
  • Maintain department materials, including organization charts, distribution lists, and conference rooms
  • Manage repositories including SharePoint and use HR systems, productivity tools, and portal technology such as Workday, SharePoint, ZOOM, MS Teams, GlobalView, AskGS, IRIS, and eMarketplace
  • Manage statements of work and purchase orders; track expenditures and follow up on actual expenses
  • Achieve results independently without day-to-day mentorship
  • Maintain strict confidentiality and exercise independent discretion and judgment to resolve complex problems
  • Provide logistical support for large departmental and group meetings, including room space, catering, AV support, and agendas
  • Handle external partner relationships, including meeting scheduling and facilitating contracting efforts

Requirements

What you’ll need
  • High School/Secondary degree or equivalent required
  • A minimum of 4 years’ experience in administrative or office support is required
  • Basic knowledge of Microsoft Office applications (Outlook, Word, Excel, PowerPoint)
  • Familiar with Concur or expense reporting systems
  • Strong written and verbal communication skills
  • Ability to manage routine tasks independently and prioritize work effectively
  • Up to 5% of travel may be required
