About the role
Key responsibilities & impact- Support the full employee lifecycle and administer HR programs and policies
- Collaborate cross-functionally on people processes and initiatives, focusing on continual improvement and positive employee experience
- Own full-cycle new hire onboarding, including offer letters, candidate vetting, pre-employment screening, trackers, ADP setup, orientation, onboarding materials, surveys, and 30/60/90-day check-ins
- Coordinate monthly performance management processes, reviews, anniversary communications, and promotion notifications
- Process employee lifecycle changes including hires, promotions, transfers, leave, and terminations; maintain HRIS and ADP records, Jira tickets, and stock option trackers
- Conduct monthly dual employment audits and coordinate follow-up
- Support HR metrics, reporting, data requests, and accurate employee lifecycle records
- Provide backup support for timecards, open enrollment, benefits, compliance documentation, Slack moderation, and annual bonus file creation
- Provide level 1 employee relations support and manager coaching
- Lead employee engagement initiatives and own the monthly People Team newsletter
- Support EOR hiring and onboarding in Canada, Australia, Japan, and other international locations
- Work occasional shifted schedules for Japan-related HR operations and coordinate across time zones
- Assist with or occasionally lead termination conversations and full-cycle offboarding
- Use artificial intelligence tools to streamline HR processes and improve efficiency
- Provide backup payroll coordination, timecard assistance, compensation-change data input, PTO tracking, incentive-plan and commission statement distribution, and state payroll tax/unemployment reporting support
- Provide backup benefits support, including HSA/FSA tracking and payment processing
- Maintain HR onboarding, IT materials, policies, process documentation, and compliant employee records
- Own harassment training creation, rollout, and completion tracking
- Support SOC, ISO, IL5, and 401(k) audit documentation and reporting
Requirements
What you’ll need- 2-5 years experience in HR roles, with a focus on payroll, benefits and compliance
- Knowledge of HR laws, regulations, and best practices
- Excellent communication and interpersonal skills
- Ability to maintain confidentiality and handle sensitive information with discretion
- Proficiency in HRIS (Human Resources Information Systems) and ATS (Applicant Tracking Systems)
- Baseline knowledge of Excel and GSuite
- Strong problem-solving skills and attention to detail
- Exceptional organizational and time management skills
- Ability to multitask and prioritize tasks in a fast-paced environment
- Team player with a collaborative and proactive approach
- Flexibility and adaptability to change
- Flexible schedule (occasionally onboarding occurs in US evening hours for our Japanese/AU employees)
- Bachelor’s degree in human resources, business administration, psychology, or related field (preferred)
- SHRM/HRCI Certification (any level) (preferred)
- Strong MS Office skills (Excel/Word in particular) (preferred)
- Background knowledge of California, Colorado and Illinois specific HR laws (preferred)
- Experience with HR laws outside of the US (preferred)
- Resides in the Chicagoland area (preferred)
