About the role

Key responsibilities & impact
  • Manage the CEO’s active calendar, with additional calendar support as bandwidth permits
  • Provide calendar and administrative support to additional executives for events, meetings, and communications
  • Anticipate team needs, proactively identify solutions, and implement process improvements
  • Improve and optimize calendar management and administrative processes
  • Organize and facilitate meetings, including scheduling, preparing agendas, and taking and distributing meeting notes
  • Prepare and submit ad hoc expense reports for multiple executives
  • Organize events and offsites, coordinate travel, process invoices, and support occasional work outside regular business hours
  • Coordinate interviews and calendars across candidates and interview panels and track candidate communications for the People team
  • Support the CEO and executive team through meeting support, project research, schedule management, workflow optimization, travel logistics, meeting-request triage, expense reports, and internal communications

  • Extensive experience supporting a CEO and triaging multiple executives’ calendars and administrative needs
  • Utmost discretion and confidentiality
  • Experience working proactively and autonomously in a dynamic, fluctuating environment
  • Ability to pivot and respond quickly as executive priorities or needs change
  • Ability to optimize workflows
  • Ability to multitask and prioritize in a fast-paced environment
