About the role

Key responsibilities & impact
  • Maintain and reconcile monthly payroll for support and academic staff
  • Maintain and secure the payroll system
  • Act as the primary contact for payroll and related queries
  • Process joiners, leavers, bank details, tax codes, pension options, deductions, salary changes and annual adjustments
  • Implement pension changes and other employee-notified updates
  • Process annual deductions for health, holiday purchase and cycle schemes
  • Obtain and validate monthly payroll inputs, including overtime, casual worker hours, meal allowances, unpaid leave and other adjustments
  • Obtain sickness absence details and ensure company sick pay is applicable
  • Manage pension scheme data flows, submissions, reconciliations, reports and staff queries
  • File online and liaise with HMRC on statutory payroll deductions and adjustments, ensuring RTI compliance
  • Handle maternity, paternity and sick pay in accordance with College and statutory requirements
  • Provide salary costs and assist with salary budgets and forecasts
  • Run monthly pension auto-enrolment and three-yearly automatic re-enrolment processes
  • Maintain payroll analysis parameters for nominal ledger processing
  • Prepare monthly BACS files for salaries, pensions, HMRC and AEO payments, and process NEST payments
  • Prepare salary journals, battels spreadsheets and journals
  • Maintain and reconcile termly external tuition, advising and personal tutor payments
  • Reconcile payroll-related control accounts monthly
  • Monitor key action dates and maintain accurate payroll records for audit
  • Prepare salary review information, annual employer cost figures, year-end reports, stipend survey and gender pay gap reports
  • Prepare quarterly figures for the National Statistics board and recharged employer costs
  • Assist staff with personal tax and pension issues
  • Provide cover for Accounts Office colleagues and handle general queries

Requirements

What you’ll need
  • At least 3 years’ experience working on payroll processing within an Accounts team
  • Experience, knowledge and skills necessary to ensure accurate and timely processing of payroll and full compliance with legislation
  • Ability to protect sensitive personal data and act with discretion
  • Ability to structure and carry out complex reconciliations
  • Good working understanding of accounts and debits and credits
  • Excellent IT skills, including knowledge of Excel, Word, payroll systems and databases
  • Disciplined and organised approach to work and attention to detail
  • Good timekeeping
  • Flexibility in providing cover for colleagues, when required
  • Flexibility in working to the payroll deadlines
  • Ability to multi task and correctly prioritise the workload
  • Ability and confidence to work under no supervision
  • Interest in the activities of the College, a friendly and confident manner and a desire to offer excellent standards of service
  • Ability to establish good working relationships with colleagues both within the department and across departments
  • Experienced user of Cintra IQ Payroll
  • Oxford College payroll experience
  • Accountancy training at technician level
  • Applicants must be eligible to work in the UK
