About the role
Key responsibilities & impact- Support a team managing one or more real estate assets, providing client deliverables and customer service to building tenants
- Receive hard copy, electronic, and other invoices
- Monitor Outlook inboxes established for invoice receipt
- Retrieve invoices from vendor, utility provider, and other online accounts
- Enter and upload property invoices into tracking systems and client/owner software including Yardi, MRI, and AvidXChange
- Attach inspection reports, delivery tickets, and other backup documentation to invoices
- Verify invoices against work orders, tenant requests, operating budgets, purchase orders, and other records
- Research billing discrepancies or missing payments and coordinate resolutions with the property management team
- Collaborate with property management, building engineers, operations teams, and owners/clients to review and process invoices
- Establish and maintain relationships with vendors, tenants, and customers
- Reconcile vendor accounts
- Support the property manager with financial reports, operating statements, budget development, and variance analysis
- Maintain invoice, payable, vendor, and tenant records and filing systems
- Answer phones and assist tenant, customer, and vendor needs
- Respond to inquiries and deliver messages
- Track invoice payments, tenant billings, and other billable items
- Work with engineers and vendors to track building maintenance activities
- Infrequent travel required
Requirements
What you’ll need- Minimum high school education required; Associates, B.A. or B.S. college degree preferred
- Minimum of 2 years previous customer service experience
- Experience with Yardi software and payables module required
- Experience with MRI and AvidXChange preferred
- Previous experience in real estate accounting and familiarity with monthly accounting cycle, including A/P, A/R, and commercial leases preferred
- Reliable transportation and a valid driver's license
- Computer literacy and proficiency in MS Word, Excel, and PowerPoint
- Strong organizational skills; ability to self-start and multi-task
- Advanced oral and written communications
- Strong attention to detail
- Ability to work in a team-focused atmosphere
- Work authorization in the United States required; Lincoln Property Company does not sponsor employment visas
- Successful completion of a background investigation required
