About the role
Key responsibilities & impact- Support the team lead administratively and operationally across Theatrical, Print and Digital campaigns and lifecycles.
- Manage team scheduling, travel and Outlook calendar.
- Organize creative assets internally and externally.
- Track and organize materials from agencies and filmmakers.
- Create links, burn-ins and watermarks for creative materials.
- Manage distribution of scripts, dailies, features and unit photography.
- Organize deliverables lists for each film title and platform.
- Coordinate agency communications regarding notes, deadlines and delivery specifications.
- Consolidate materials for executive and filmmaker presentations.
- Compile agendas and disseminate meeting notes.
- Manage workflow platforms and keep them updated.
- Support broadcast, print and digital asset delivery throughout campaign lifecycles.
- Manage asset delivery lists for trailer launches, VOD packages, graphics packages and finishing requests.
- Maintain campaign information, budgets and spend-to-date figures.
- Manage invoices and billing, including receiving, tracking, coding, approving and submitting invoices to Accounts Payable.
- Track invoices and spend in the budget tracker and circulate spend-to-date reports.
- Liaise with Accounts Payable, vendors and Finance on billing and budget allocations.
- Submit, process and track SVP expenses.
- Create and update project status reports.
- Record asset details, approvals, schedules, vendors and delivery information.
- Liaise with finishing and vendors to ensure smooth workflows.
- Update cheat sheets and monitor mixes/DI schedules.
- Share locked assets across departments.
Requirements
What you’ll need- Minimum of 1 year of administrative experience, preferably entertainment based.
- Ability to project manage and prioritize multiple projects simultaneously.
- Meticulous attention to detail and strong organizational skills.
- Passionate about advertising, trends, and social media.
- Excellent written, verbal and interpersonal communication skills.
- Exceptional time management skills.
- Thrives in a fast-paced, dynamic environment.
- Vast knowledge of music, pop culture, art and film.
