About the role
Key responsibilities & impact- Identify and recruit medical oncology practices, cancer centers, academic institutions, health systems, and community oncology groups for Grand Rounds participation
- Conduct and coordinate outreach to physicians, administrators, education coordinators, and other institutional contacts
- Build and maintain pipelines of prospective, interested, confirmed, and scheduled institutions
- Manage recruitment timelines, follow-up activities, and program-specific goals
- Develop relationships with participating institutions to support repeat participation
- Identify and cultivate relationships with patient advocacy organizations, professional societies, healthcare institutions, and strategic partners
- Research and evaluate organizations aligned with RTP’s oncology educational priorities
- Coordinate partner participation in educational initiatives, content development, outreach campaigns, and other projects
- Manage partnership communications, timelines, deliverables, and follow-up
- Maintain databases of partner contacts, activities, and future collaboration opportunities
- Manage multiple Grand Rounds series, advocacy collaborations, and external engagement projects
- Coordinate timelines, deliverables, and communications among internal and external stakeholders
- Maintain project plans, recruitment trackers, contact records, and status reports
- Identify and resolve barriers to recruitment, participation, and project execution
- Coordinate with scientific, marketing, meetings, outcomes, production, and project management teams
- Support targeted email, telephone, and other outreach efforts
- Collaborate with marketing staff on recruitment and engagement strategies
- Tailor outreach by disease state, geography, institution type, organization type, and audience needs
- Evaluate outreach effectiveness and recommend improvements
- Monitor recruitment, participation, attendance, and partner engagement metrics
- Analyze institutional recruitment and partnership trends
- Prepare regular status reports for leadership and project teams
- Use data to identify high-potential institutions, organizations, and partnership opportunities
- Recommend process improvements based on recruitment and participation data
Requirements
What you’ll need- At least 3 years of project management experience
- Experience in healthcare, pharmaceuticals, medical education, patient advocacy, nonprofit organizations, or a related field
- Experience with marketing, outreach, recruitment, relationship management, or partnership development
- Strong analytical skills and experience working with recruitment, marketing, participation, or engagement data
- Strong organizational and time-management skills
- Ability to manage multiple projects, stakeholders, and deadlines simultaneously
- Excellent written and verbal communication skills
- Proficiency with Excel, databases, trackers, and project management tools
- Ability to work independently and provide clear, consistent progress reporting
- Preferred: Experience in oncology or hematology
- Preferred: Experience working with patient advocacy organizations
- Preferred: Experience recruiting healthcare institutions, physicians, or healthcare professionals
- Preferred: Familiarity with academic cancer centers, hospital systems, and community oncology practices
- Preferred: Experience with continuing medical education or healthcare educational programming
- Preferred: Experience using CRM systems, email marketing platforms, or contact databases
