About the role
Key responsibilities & impact- Provide broad executive support to the Chief External Affairs Officer (CEAO)
- Serve as the primary point of contact for internal and external constituencies concerning the CEAO’s office
- Act as a gatekeeper and prioritize conflicting needs
- Schedule and manage calls, videoconferences, and in-person meetings
- Maintain the CEAO’s Outlook contacts and keep the CEAO informed of commitments and responsibilities
- Obtain preparatory materials for meetings and attend virtual meetings as requested
- Take and distribute meeting notes and track follow-up tasks in Asana
- Arrange travel, including plane, train, hotel reservations, and conference registration
- Coordinate weekly External Affairs team meetings, agendas, materials, and notes
- Coordinate expense reports with receipts
- Compose correspondence and emails on behalf of the CEAO
- Maintain electronic files and records
- Complete mailings and shipping and obtain office supplies and equipment
- Complete special projects involving research, analysis, document formatting, and recommendations
- Create PowerPoint presentations and use Lucidchart for workflows and visualization
- Lead e-signature processes via Nitro or other platforms
- Maintain and update the delegation hierarchy chart
- Assist with annual department budgets, monitor expenditures, and report variances
- Initiate and execute contracts in Salesforce and coordinate approved consultant and vendor payments
- Provide occasional support to other External Affairs team members
- Support board-related matters and coordinate preparation of committee and board meeting materials
- Coordinate with other executive assistants on important meetings and events
- Identify ways to streamline company operations and improve productivity
- Report to the CEAO
Requirements
What you’ll need- A bachelor’s degree or equivalent experience is required
- Minimum of two years of comparable experience supporting a C-level executive
- Ability to work independently in a fast-paced environment, with minimal supervision
- Ability to adapt to evolving situations and anticipate executive needs
- High standard for generating quality work and a positive attitude and demeanor
- Strong interpersonal skills
- Advanced-level skills with Microsoft Teams, Outlook, Word, and PowerPoint
- Proficiency with Excel and Zoom
- Familiarity with Salesforce and expense management systems such as Concur or Expensify
- Strong administrative and organizational skills
- Excellent verbal and written communication skills
- Research experience
- Ability to work under pressure and meet deadlines
- Ability to handle complex logistical arrangements
- Excellent attendance, self-motivation, attention to detail, thoroughness, creativity, and flexibility
- Commitment to LIIF’s mission
- Resume and cover letter required
- Development, policy, or communications experience and knowledge of early childhood education, housing, or community development are a plus
