About the role

Key responsibilities & impact
  • Interface daily with attorneys, visiting attorneys and teams to manage administrative support tasks
  • Act as a liaison between the billing partner and team members
  • Manage calendars, schedules, meetings, depositions, conference calls, travel arrangements and events
  • Duplicate, organize and prepare documents for court filings when Office Services staff are unavailable
  • Organize and prepare client documents obtained from professionals
  • Manage and track expense reimbursements
  • Create and maintain client records and files
  • Edit and proofread legal documents
  • Organize legal documents and ensure they are updated
  • Ensure court documents are in order and filed before deadlines
  • Answer, redirect and respond to emails and phone calls
  • Research and authenticate case information
  • Prepare legal documents including appeals, motions and petitions
  • Provide backup support to other administrative assistants

Requirements

What you’ll need
  • 3+ years of previous experience supporting multiple professionals
  • 1-2 years of previous Litigation experience highly preferred
  • Knowledge of Federal, State court filing rules
  • Strong multi-tasking skills and ability to prioritize activities and work under pressure to meet client deadlines
  • Excellent communication and interpersonal skills
  • Creative and independent thinker; confident asking questions to complete tasks efficiently
  • Discretion and professionalism when dealing with clients and others
  • Strong writing and research skills
  • Exceptional organizational skills and strong attention to detail
  • Advanced knowledge of Microsoft Office, iManage and various legal software applications
  • Heavy knowledge of Word and strong Outlook knowledge
  • Experience with legal billing software is a plus
  • Clear and informative writing; proofreading for spelling and grammar
  • Skilled at typing correspondence and pleadings for attorneys
  • Ability to use diplomacy and maintain strict confidentiality
  • BA Degree highly preferred
