About the role
Key responsibilities & impact- Interface daily with attorneys, visiting attorneys and teams to manage administrative support tasks and liaise between the billing partner and team members
- Manage calendars, scheduling, meetings, depositions, conference calls, travel arrangements and events
- Duplicate, organize and prepare documents for court filings when Office Services staff are unavailable
- Organize and prepare client documents obtained from professionals during office hours and client meetings
- Manage and track expense reimbursements
- Create and maintain client records and files
- Edit and proofread legal documents
- Organize legal documents and ensure they are updated
- Ensure court documents are in order and filed before deadlines
- Answer and redirect emails and phone calls as necessary
- Research and authenticate case information
- Prepare legal documents including appeals, motions and petitions
- Provide backup support to other administrative assistants when needed
Requirements
What you’ll need- 3+ years of previous experience supporting multiple professionals
- 1-2 years of previous Litigation experience highly preferred
- Knowledge of Federal, State court filing rules
- Strong multi-tasking skills and ability to prioritize activities and work under pressure to meet client deadline expectations
- Excellent communication and interpersonal skills
- Strong writing and research skills
- Exceptional organizational skills and strong attention to detail
- Advanced knowledge of Microsoft Office, iManage and various legal software applications
- Heavy knowledge of Word and strong Outlook knowledge
- Experience with legal billing software is a plus
- Clear and informative writing, editing for spelling and grammar, and ability to interpret written information
- Skilled at typing correspondence and pleadings for attorneys
- Ability to use diplomacy and maintain strict confidentiality
- BA Degree highly preferred
- Must be authorized to work in the United States, as the employer verifies work authorization through Form I-9/E-Verify
