About the role
Key responsibilities & impact- Schedule and coordinate multi-party in-person, teleconference, and videoconference meetings
- Coordinate pre-mediations, mediations, and approved adjourned and reconvened mediations
- Maintain and update mediation schedules, mediator and Claims Advisor availability lists, and the AIM calendar
- Prepare and obtain signed videoconference authorizations and agreements to mediate
- Prepare correspondence, confirmations, and authorizations
- Receive, copy, organize, and file documents
- Courier approved files to mediators
- Arrange interpreters through the Language Bank when required
- Review claimant and MPI documentation for Personal Health Information Act (PHIA) compliance
- Prepare reimbursement requests and payment requisitions
- Process mediator invoices for payment
- Prepare information binders for new mediators
- Coordinate office supply requests and office equipment maintenance
- Perform photocopying and maintain the filing system
- Drop off and pick up mail
- Greet mediation participants and set up mediation rooms
- Perform other duties as assigned
Requirements
What you’ll need- High school diploma or equivalent
- One year of practical experience in an office environment
- Experience working with sensitive and confidential information is an asset
- Experience scheduling multi-party meetings
- Experience with mediation is an asset
- Communication skills to present information effectively to various stakeholders and the public
- Customer service skills and ability to deal tactfully with sensitive issues confidentially
- Ability to maintain claimant confidentiality
- Ability to establish and maintain effective relationships with leaders, peers and stakeholder agencies
- Ability to work independently and as part of a team
- Knowledge of videoconferencing platforms such as Teams and GoTo Meeting
- Knowledge of Microsoft Office, including Word, PowerPoint, Excel, Outlook, and SharePoint
- Knowledge of data and administrative management practices and procedures
- Advanced organizational and time-management skills
- Ability to handle multiple tasks and prioritize assignments to meet deadlines
- Intermediate analytical and problem-solving skills
- Accuracy and attention to detail
- Well organized and able to switch tasks with ease
- Knowledge of Artificial Intelligence (AI) tools
- Security clearance required
