About the role

Key responsibilities & impact
  • Maintain physicians’ clinic and surgery schedules
  • Make appointments for new and returning patients
  • Schedule surgeries, procedures, and colonoscopies
  • Maintain physician schedules to assure efficient workflow
  • Interface with the Practice Leader regarding scheduling issues
  • Provide administrative and direct assistance to physicians
  • Obtain necessary authorizations for surgeries, procedures, and colonoscopies
  • Submit clinical information to outside sources at the physician’s request
  • Answer incoming telephone calls and provide excellent customer service
  • Provide new patients with registration and preparation information
  • Greet patients entering and leaving the clinic
  • Send patients letters regarding surgery information
  • Maintain order in the waiting room and work area
  • Maintain exam rooms as needed and report facility problems
  • Remain professional, calm, and effective in emergent or high-pressure situations
  • Collaborate with all staff members as a team player
  • Lead projects establishing standardized scheduling practices organization-wide
  • Perform other duties as required or assigned

Requirements

What you’ll need
  • High school diploma or General Educational Development (GED) certificate required
  • At least two years of related medical office experience
  • Prior referral and authorization experience
  • Prior surgery scheduling experience preferred
  • Demonstrated punctuality, reliability, and professionalism
  • Exceptional follow-through and completion of tasks
  • Exceptional customer service skills
  • Ability to multi-task effectively
  • Strong attention to detail
  • Understanding and usage of medical terminology
  • Knowledge of CPT and ICD-10 codes, especially related to general surgery, a plus
  • Effective, tactful communication skills
  • Experience with and proficiency in electronic medical record systems; Allscripts a plus
  • Ability to read, write, do arithmetic, and apply reasoning skills equal to at least that of the average high school graduate
  • Proficient computer skills and accurate data entry
  • Ability to work unsupervised
  • Must receive measles, mumps, varicella, and annual influenza immunizations as a condition of employment
  • Ability to work in multiple locations as required
