About the role
Key responsibilities & impact- Serve as client liaison and project leader for assigned small meetings and ad hoc contract engagements in face-to-face, digital, or hybrid formats
- Manage overall coordination, planning, and execution of programs
- Plan logistics and provide customer service and stakeholder management
- Initiate and execute supply agreements and contract creation through the Contract Lifecycle Management System (CLMS)
- Minimize contractual risks in external relationships
- Provide status updates to management and escalate unresolved issues
- Manage project timelines and deliverables, client expectations, business objectives, and people impressions
- Coordinate food and beverage, transportation, hotels, air travel, and staffing
- Communicate established HCP Meeting guidelines to meeting stakeholders and HCPs
- Maintain day-to-day client contact and ensure client objectives and satisfaction
- Capture and update accurate financial information in business management systems
- Manage program budgets, audit billing, track and report expenses, and reconcile supplier payments
- Use event management systems from intake through final billing
- Create SOWs and budgets, maintain client and proprietary systems, and manage files and records
- Work with accounting to complete final billing and support special projects
Requirements
What you’ll need- Bachelor degree or equivalent experience required
- 2–4 years of experience in event or meeting management, including budget maintenance; HCP or Pharma experience desired
- Prior experience developing and maintaining key client and supplier relationships desired
- Excellent computer skills
- Knowledge of Microsoft Office tools
- Knowledge of Cvent
- Ability to learn new technology quickly
- Prior experience effectively handling multiple projects/demands
- Ability to travel approximately 30% (approximately once per quarter)
- Ability to co-locate on the client’s campus 2 days/week in East Hanover, NJ if hybrid
- Authorization to work permanently in the U.S.; sponsorship is not provided
