About the role
Key responsibilities & impact- Perform routine administrative and clerical duties supporting clinical services and physician practice
- Schedule patient appointments and maintain accurate appointment records
- Welcome and assist patients throughout their visits
- Answer incoming calls, respond to routine questions, take messages, and route inquiries appropriately
- Support check-in, check-out, patient flow, and waiting room activity
- Process referrals, diagnostic and laboratory orders, prior authorizations, and registration information
- File and scan documents, print schedules, and maintain patient records
- Obtain medical records and laboratory test results
- Process patient billing forms and accept co-payments when required
- Open and distribute mail and faxes; prepare forms, records, schedules, and memos
- Provide general support to practice leadership, clinicians, and colleagues
- Fill staffing gaps caused by call-outs, vacations, leaves, and vacancies
Requirements
What you’ll need- High school diploma or equivalent required
- Previous healthcare office experience preferred
- Basic proficiency with Microsoft Office applications
- Knowledge of office procedures, including filing, copying, scanning, printing, and faxing
- Ability to use a phone system, manage non-routine calls, and resolve routine issues appropriately
- Clear and effective verbal and written communication skills, including composing and editing emails, memos, and letters and taking complete, accurate messages
- Strong organization and time-management skills, with the ability to manage multiple tasks, follow established protocols, and work effectively within systems
