About the role
Key responsibilities & impact- Make and maintain patient appointments while helping ensure schedules are accurate and efficient
- Greet and assist patients
- Answer phone calls, respond to routine inquiries, take messages, and help patients navigate appointment needs
- Support check-in and check-out processes
- File, scan, print, fax, and organize patient-care and practice-operation documents
- Process billing forms, co-payments when required, and medical-record documentation
- Request patient medical records, laboratory results, and other information needed by the care team
- Open and distribute mail or faxes and type forms, records, schedules, memos, and other materials
- Assist with messages related to prior authorizations, provider questions, prescription refills, and test results
- Serve as a resource for scheduling, registration, and billing systems, including providing support or training to others
- Perform specialized functions such as surgical scheduling or schedule changes
- Support day-to-day operations of the Physiatry clinical practice across Portsmouth and Somersworth locations
Requirements
What you’ll need- High School Diploma or equivalent required
- At least 2 years of office experience required
- Proficiency with Microsoft Office applications and general office operations, including filing, copying, scanning, printing, and faxing
- Strong phone skills with the ability to manage routine and non-routine calls professionally
- Excellent written and verbal communication skills, including composing and editing emails, memos, and letters
- Strong organization, attention to detail, and time management skills
- Ability to manage multiple priorities, follow established protocols, and work effectively within clinical systems
- Ability to travel between the Portsmouth and Somersworth, NH offices
- Certified Medical Administrative Assistant (CMAA) preferred
