About the role

Key responsibilities & impact
  • Perform administrative and clerical duties for a clinical service or physician practice office
  • Make patient appointments and maintain appointment records
  • Assist callers with routine inquiries and schedule appointments
  • Process patient billing forms and scan documents to patient medical records/LMR
  • Act as Super User for scheduling, registration, and billing systems
  • Provide assistance and training to others in scheduling, registration, and billing
  • Perform complex or specialized functions such as surgical scheduling and schedule changes/blocking
  • Provide functional guidance to Office and Practice Assistants
  • Oversee daily activities of practice staff with the Supervisor
  • Accept co-payments when required
  • Handle, screen, and take messages regarding prior authorizations, provider questions, prescription refills, and test results

Requirements

What you’ll need
  • High School Diploma or Equivalent required
  • 3-5 years of office experience required
  • Strong technology and MS Office skills, including advanced Outlook, Word, Excel, and PowerPoint
  • Knowledge of office operations, standards, and procedures, including filing, copying, scanning, printing, and faxing
  • Ability to use the phone system, manage non-routine phone calls, and solve routine issues
  • Effective written and verbal communication skills
  • Ability to understand work-related documents and compose/edit emails, memos, and letters
  • Ability to manage own time and others' time
  • Strong organization and time management skills
  • Ability to manage multiple tasks, follow established protocols, and work within systems
  • Ability to proofread and edit written documents
  • Ability to lift and carry 20-35 pounds
