About the role

Key responsibilities & impact
  • Provide senior-level administrative and operational support across Corporate Strategy, Corporate Development, and Treasury
  • Manage complex calendars for senior Corporate Finance leaders, including prioritization, focus-time protection, multi-time-zone scheduling, and conflict resolution
  • Coordinate leadership meetings, staff meetings, strategic planning sessions, Corporate Development updates, Treasury meetings, and executive decision-making forums
  • Prepare agendas, executive-ready materials, meeting documentation, and action-item follow-up
  • Support planning cycles, leadership engagement materials, strategic initiative updates, transaction-related coordination, Treasury routines, and quarterly reviews
  • Maintain distribution lists, organizational materials, key documents, and process artifacts
  • Assist with Office of Enterprise Resilience coordination and information and data security requirements
  • Arrange domestic and international travel, manage itineraries, prepare expense reports, and coordinate budgets, invoices, and vendors
  • Plan and execute executive meetings, leadership offsites, strategy sessions, business reviews, conferences, and team events
  • Coordinate event venues, logistics, vendors, attendee communications, conference rooms, catering, and meeting materials
  • Identify and implement process improvements using technology tools including Microsoft 365
  • Handle confidential information and coordinate with internal stakeholders and administrative peers
  • Assist with campus and talent recruitment event planning

Requirements

What you’ll need
  • High school diploma (or equivalent diploma)
  • 3+ years of related experience with executive administration, office manager, or administrative support role
  • Associate’s degree
  • 5+ years of related experience with senior executive administration, office manager, or similar roles in the financial services industry
  • 2+ years of experience in event planning, calendar management, and meeting coordination
  • Proficient working knowledge of PowerPoint, Excel, Concur, and other technology required to support an organization
  • Strong verbal and written communication skills
  • High attention to detail and time management
  • Collaborative approach and strong interpersonal skills
  • Expertise with communication tools such as Zoom and Teams
  • Experience supporting executive leadership routines, strategic planning discussions, confidential business activities, or senior stakeholder engagements across Corporate Finance or equivalent leadership forums
