About the role

Key responsibilities & impact
  • Monitor workflow performance to identify bottlenecks and system performance issues
  • Investigate reported workflow issues and escalate critical functionality issues to Managers, Development Team, and IT Service Desk
  • Troubleshoot and administratively intervene in workflow requests, including cancelling and restarting requests, redirecting tasks, executing update queries, and resolving workflow errors
  • Execute daily data quality queries to expose and correct requests requiring intervention
  • Administer the Matter Review workflow process, user groups, notification templates, and business rules
  • Respond to firm-wide email and telephone inquiries regarding workflow functionality, process requirements, and request status
  • Coordinate with Business Intake staff in Chicago, London, and Hong Kong to handle queries and resolve issues
  • Manually input data into Aderant and ICM Conflicts Manager for administrative matter openings and revisions
  • Review user feedback and recommend product enhancements and bug fixes
  • Contribute to test plan creation and participate in C3 release functionality and integration testing
  • Plan and provide workflow support coverage during global firm emergencies, outages, and holidays
  • Perform other duties as assigned or required to meet Firm goals and objectives

Requirements

What you’ll need
  • BA degree preferred
  • An equivalent combination of education and/or experience may be considered in lieu of the degree when the experience has been directly related to the functions of the job
  • Previous law firm Business Intake/Conflicts experience and/or previous experience using workflow software tools required
  • Proficiency in Microsoft Office products
  • Knowledge of Aderant accounting software and ICM Conflicts Manager a plus
  • Experience using issue reporting and tracking software
  • Strong interpersonal and written and verbal communication skills
  • Ability to work in a diverse team environment and support demanding Firm needs
  • Ability to work under pressure and meet deadlines with shifting priorities
  • High level of initiative
  • Strong customer service skills and ability to anticipate needs
  • Strong attention to detail and organizational skills
  • Ability to handle multiple projects
  • Ability to maintain confidentiality and exercise discretion
  • Strategic thinking and problem-solving skills
  • May require occasional lifting of up to 20 lbs.
