About the role
Key responsibilities & impact- Perform complex and specialized secretarial support under the general supervision of assigned attorneys and/or supervisor
- Handle telephone, voicemail, photocopying, e-fax, DTE, email, courier, filing, LegalKey, and Records Center procedures
- Input and revise documents according to author instructions using Firm equipment and software
- Prepare letters and memos; proofread, photocopy, assemble, and distribute materials
- Red-line, email, and process documents; convert and format documents using Word styles
- Repair corrupt documents using DocX Tools
- Provide support to attorneys and handle specific projects
- Work with Los Angeles billing analysts to prepare accurate and timely client bills
- Arrange travel and coordinate with the Firm’s Travel Department
- Use scanning software, E-Fax, iManage, Word 2016, Best Authority, expense reports, and Chrome River
- Ensure work is completed in a timely manner using Firm resources
- Maintain personal timekeeping, attendance, and timecard submission
- Provide overtime coverage as required
- Perform other duties as assigned to meet Firm goals and objectives
Requirements
What you’ll need- High school diploma required; college degree preferred
- 5 years of experience as a secretary in a legal environment
- Proficiency in Microsoft Office products, iManage management system, and LegalKey
- Ability to learn new software specific to the needs of the assignments
- Typing of 65 WPM preferred
- Excellent grammar, punctuation, and spelling skills
- Excellent communication and organization skills with ability to multi-task
- Ability to work in a team environment and effectively support attorneys and support staff with minimal supervision
- Ability to work independently and anticipate tasks
- Strong written and verbal communication skills
- Ability to work in a diverse team environment
- Ability to work under pressure and meet deadlines with shifting priorities
- Self-starter with a high level of initiative
- Strong customer service skills
- Strong attention to detail and organizational skills
- Ability to handle multiple projects
