About the role

Key responsibilities & impact
  • Ensure the warranty department collaborates with service and parts managers to comply with manufacturer warranty policy and procedure
  • Book warranty repair orders and submit manufacturer warranty claims
  • Maintain receivables schedules and process service contract claim submissions with appropriate follow-up
  • Work with technicians, service writers, supervisors, vendors, manufacturers, and Service Advisors
  • Coordinate receipt and shipment of replacement parts
  • Define the scope of warranty claims with Service Advisors
  • Process warranty paperwork and verify documentation and eligibility criteria
  • Reconcile warranty receivables and work with accounting to obtain payments
  • Maintain service and customer records required by warrantors
  • Track factory recall announcements and procedures
  • Build relationships with manufacturer warranty representatives and aftermarket warranty companies
  • Review warranty repair orders for completion, accuracy, legibility, and policy compliance
  • Enter applicable labor operation codes, failure codes, and administrative data on orders
  • Ensure deductibles are documented and collected at repair completion or delivery
  • Review returned or rejected warranty claims and prepare repair orders for resubmission
  • Maintain records of submitted, returned/rejected, and paid claims and their status
  • Control physical inventory of parts to be returned, inspected, or scrapped
  • Provide weekly claims-status reports to the Service Manager
  • Report safety, welfare, or dealership-integrity concerns to management
  • Assist with other assigned duties and follow scheduled hours as directed by the manager

Requirements

What you’ll need
  • 1-2-years of dealership, service, or parts warranty experience is preferred
  • General accounting knowledge highly preferred
  • High school diploma or equivalent is required
  • Ability to logically identify the strengths and weaknesses of alternative solutions, conclusions, or approaches to complex problems and incorporate an understanding of new information to implement productive and cost-effective solutions
  • Excellent interpersonal communication abilities, including giving full attention to what other people are saying, asking appropriate questions, managing and understanding others’ reactions, and resolving issues professionally and tactfully over the phone and in person
  • Must maintain a valid state driver’s license to drive any customer or company vehicle
  • Proficiency in using computers, Dealer software, Windows OS, Microsoft Excel, and Microsoft Outlook
  • Experience managing multiple small and large projects at any given period
  • Working knowledge of administrative/clerical procedures and systems
  • Ability to work with multiple departments and vendors to complete duties and reconcile differences
  • Must work on-site; no out-of-state or remote applicants will be considered
