About the role

Key responsibilities & impact
  • Own end-to-end interview scheduling logistics across multiple roles, panels, and time zones
  • Proactively resolve scheduling conflicts and refine workflows to reduce turnaround time
  • Manage competing priorities across multiple open requisitions
  • Build and maintain recruiting dashboards and reports covering time-to-fill, funnel conversion, source effectiveness, and offer acceptance
  • Identify pipeline trends, bottlenecks, and risks and recommend process improvements
  • Partner with recruiting leadership on headcount and hiring plan tracking
  • Serve as ATS subject-matter expert and system owner
  • Configure ATS workflows, conduct data integrity audits, and troubleshoot issues
  • Train recruiters and hiring managers on ATS best practices
  • Identify opportunities to automate or streamline ATS processes
  • Manage complex candidate on-site travel logistics, budgets, and vendor coordination
  • Own the candidate experience for on-site interviews and resolve issues in real time
  • Lead or co-lead hiring manager intake and kickoff calls
  • Translate kickoff discussions into clear hiring plans and success metrics
  • Partner proactively with recruiters and hiring managers and flag timeline or process risks
  • Drive recruiting projects and initiatives from scoping through completion
  • Support sourcing, screening, and market knowledge activities as needed

Requirements

What you’ll need
  • 3-5+ years of experience in recruiting coordination, recruiting operations, or a related HR/TA role
  • Advanced proficiency with an ATS (Greenhouse, Lever, Workday, GEM, etc.)
  • Strong ownership mentality and ability to identify problems and drive solutions independently
  • Ability to manage multiple projects independently with minimal guidance
  • Strong analytical skills and ability to build and interpret recruiting metrics/dashboards
  • Excellent communication and stakeholder management skills, including with senior hiring managers
  • Experience managing travel logistics and vendor relationships is a plus
  • Willingness or ability to perform sourcing, screening, and apply market knowledge as needed
