About the role

Key responsibilities & impact
  • Provide support to the CEO and Executive Leadership Team
  • Act as the company’s first-line representative to external constituents, including Board members and private equity staff
  • Provide support to the Administrative Team and back-up coverage as needed
  • Prepare internal and external corporate documents using Microsoft Office products
  • Proactively manage Officers’ calendars, meetings, appointments, and travel itineraries
  • Prepare and reconcile expense reports
  • Monitor incoming email requests and keep leadership team members apprised of important information
  • Leverage technology to support Officers during regular tasks, including meeting note-taking
  • Assist with ad-hoc large-scale projects from the Executive Leadership Team
  • Maintain an organized electronic filing system
  • Interface with external business partners, including board members, private equity support staff, and banking officials
  • Manage projects and events from planning through delivery, tracking and communicating deliverables, requirements, schedules, costs, and meeting plans
  • Uphold confidentiality and handle time-sensitive and PI-sensitive information
  • Assist the Administrative Team with duties and scheduling back-up support
  • Support Quality Management initiatives and Compliance Program activities, including maintaining confidentiality and adhering to HIPAA guidelines
  • Participate in company meetings and training
  • Complete other duties and responsibilities as requested

Requirements

What you’ll need
  • Minimum three years of experience directly supporting one or more executive team members
  • Minimum one year of experience working in a customer service, logistics and/or clerical environment
  • Preference for experience within a health care/or managed care organization
  • Ability to work in a fast-paced and high-functioning office setting
  • Ability to work independently with minimal supervision
  • Exceptional customer service and interpersonal skills with the ability to prioritize requests and timelines
  • Strong orientation to detail
  • Strong organizational project management and problem-solving skills with impeccable multitasking abilities
  • Proactive in solving situations before they become problems and impact the office and/or employees
  • Strong clerical skills, including typing, filing, copying, and faxing
  • Advanced Microsoft Office skills, strong working knowledge of Excel formulas, excellent PowerPoint skills, and an ability to become familiar with company-specific programs and software
  • Understanding and working knowledge of the Company’s clients, products, departments, workflows, and applicable regulatory requirements and accreditation standards
  • Friendly and professional demeanor
  • High School diploma
  • Background Screen required before beginning employment
  • Drug Screen required for newly hired employees
  • Adherence to applicable HIPAA regulations and company policies regarding confidentiality, privacy, and security of sensitive health information
