About the role
Key responsibilities & impact- Manage complex calendars, meeting coordination, and scheduling priorities for Finance Innovation leadership
- Coordinate leadership meetings, business reviews, team meetings, and cross-functional discussions, including agendas, materials, notes, room logistics, visitor needs, and follow-up
- Track action items, decisions, deadlines, and priorities to support leadership accountability and execution
- Draft, edit, and route correspondence, meeting communications, and internal updates
- Prepare executive-ready materials, reports, trackers, and presentations using Microsoft 365 tools
- Coordinate domestic and international travel, expenses, and related logistics
- Support confidential and sensitive business matters
- Maintain organized digital filing systems, trackers, contact lists, and shared team resources
- Partner with internal teams and administrative colleagues to support consistent execution and communication flow
- Assist with special projects, team events, local facility needs, and other leadership support as assigned
- Serve as a trusted partner to the VP of Finance Innovation and other finance leaders
Requirements
What you’ll need- 6+ years of relevant administrative or executive support experience supporting senior leaders
- Experience managing complex calendars, meetings, travel, expenses, and confidential information
- Bachelor’s degree (nice to have)
- Experience supporting finance, tax, legal, or other corporate functions in a matrixed environment
- Experience supporting senior-level leadership teams, business reviews, team events, or executive offsites
- Strong action tracking, follow-up, and meeting coordination skills
- Strong working knowledge of Microsoft 365, including Outlook, Teams, Word, Excel, PowerPoint, SharePoint, and OneDrive
- Experience creating trackers, status summaries, or dashboards in Excel or Microsoft 365 tools
- Familiarity with Concur, vendor coordination, or administrative systems
- Proven ability to handle confidential and sensitive information with discretion and sound judgment
- Strong interpersonal and communication skills, with the ability to build trusted relationships across all levels of the organization
- Highly organized, proactive, and adaptable, with the ability to manage multiple priorities in a fast-paced environment
- Strong attention to detail, follow-through, and problem-solving skills
- For Baccalaureate degrees earned outside of the United States, a degree that satisfies the requirements of 8 C.F.R. § 214.2(h)(4)(iii)(A) is required
- Must possess unrestricted U.S. work authorization at the time of hire and for the duration of employment
