About the role

Key responsibilities & impact
  • Oversee the day-to-day operations of the firm’s Intake Department
  • Monitor the department intake email inbox and ensure incoming referrals are acknowledged and assigned promptly
  • Ensure mesothelioma referrals are communicated to appropriate team members and action plans are established
  • Oversee daily intake workflow and distribute cases based on workload and department priorities
  • Assign intake calls and medical record-related tasks to appropriate team members
  • Coordinate preparation for and lead weekly intake meetings with department leadership and the Intake Paralegal
  • Review agendas, pending cases, and supporting documentation before weekly meetings
  • Meet regularly with Intake team members to review workload, pending intakes, and outstanding medical record requests
  • Monitor department productivity and balance workloads
  • Provide guidance and support regarding processes, priorities, and department procedures
  • Ensure case activity is accurately documented in SmartAdvocate (SA)
  • Monitor compliance with department SOPs and established workflows
  • Maintain intake tracking systems and department reporting
  • Identify process improvements and recommend operational efficiencies
  • Collaborate with attorneys, referral sources, and internal departments to facilitate efficient case intake and workflow
  • Communicate operational priorities, workflow updates, and outstanding issues to department leadership

Requirements

What you’ll need
  • Minimum 3 years of experience in legal intake, personal injury, mass tort, or a related legal environment
  • Prior experience managing, supervising, or coordinating a legal intake team or department
  • Strong understanding of intake workflows, case management, and referral processes
  • Strong verbal and written communication skills with the ability to communicate effectively with attorneys, staff, referral sources, and potential clients
  • Excellent organizational and time-management skills with the ability to manage multiple priorities
  • High attention to detail with strong follow-through and accountability
  • Proficiency with case management systems and Microsoft Office
  • Ability to work independently and take ownership of departmental workflow and operational priorities
  • Prior experience in a personal injury, asbestos, mass tort, or plaintiffs’ law firm environment
  • Experience working with SmartAdvocate (SA)
  • Experience managing intake teams or high-volume legal intake operations
  • Familiarity with medical records, mesothelioma/asbestos claims, or other complex litigation intake
