About the role
Key responsibilities & impact- Provide secretarial and administrative support to professional legal staff
- Draft letters, legal documents, correspondence, pleadings, subpoenas, and related documents
- Prepare, assemble, and format documents with transmittal forms and envelopes
- Prepare documents for filing with the Court
- Prepare Answers, Cross-Complaints, discovery, and pleadings as directed by the handling attorney
- Maintain attorneys’ calendars, court dates, appearances, meetings, depositions, and appointments
- Maintain transcripts, documents, evidence, claims records, legal documents, and case activity
- Coordinate court reporting, copying, delivery agencies, court reporters, expert witnesses, and other experts
- Track deadlines related to appearances and daily job duties
- Communicate with claims personnel, opposing counsel, clients, adjusters, courts, and other parties
- Resolve calendar conflicts and coordinate rescheduling
- Classify, sort, and file correspondence, records, and other documents
- Operate word processors, transcribing software, case management software, photocopiers, and other office equipment
- Keep current on Court rules, procedures, and policies through professional publications and educational opportunities
- Support up to three litigation attorneys
Requirements
What you’ll need- Minimum high school diploma or GED
- Basic knowledge regarding terminology, discovery, pleadings, and civil court deadlines
- Ability to multitask and prioritize assignments
- Organization skills with attention to detail
- Ability to follow directions
- Typing minimum 60 wpm
- Knowledge of legal terminology and legal document management, including briefs, summonses, complaints, motions, pleadings, and discovery
- Effective oral and written communication skills with correct grammar, spelling, and punctuation
- Ability to compose or draft routine pleadings and correspondence
- Ability to utilize and process available resources
- Ability to accurately calendar and manage conflicts across multiple calendars
- Proficiency in Microsoft Office applications such as Word, Excel, and Outlook
- Preferred vocational certification or training in the legal field
- Preferred 1–2 years of insurance defense or civil litigation experience
- Relevant legal-field work experience; equivalent combination of education and/or experience considered
- Preferred knowledge of federal and state court rules and e-filing procedures
- Familiarity with litigation management software systems
- Trial experience preferred
