About the role
Key responsibilities & impact- Plan, administer, and operate all assigned projects
- Support existing clients and projects as part of GAMEDAY teams
- Define scopes of work, delivery timelines, project deliverables, and operating budgets with clients
- Identify project impacts and proactively recommend performance improvements
- Create or contribute to Concepts of Operations and update operating procedures
- Validate and deliver operational plans and respond to operations issues or challenges
- Complete required project paperwork promptly
- Create and deliver project training programs for assigned staff
- Compile After Action Reports and submit them to the Manager
- Respond promptly to emergency situations during normally scheduled off-duty hours
- Report policy violations, safety hazards, and unusual occurrences
- Identify opportunities for additional services with assigned projects and clients
- Support other projects as opportunities or time permit
- Manage projects according to contractual requirements
- Evaluate and meet or exceed client operational needs
- Communicate proactively with clients and resolve requests, concerns, and issues
- Create, review, and submit event summaries for Manager and client review
- Keep projects within agreed budgets and seek approval for budget increases
- Recommend solutions when client reductions create negative variances
- Provide data for budget planning and reforecasting
- Communicate major unplanned discrepancies and follow change-management processes
- Perform accounting duties with the Controller, including accounts receivable management and payroll submission
- Improve financial performance through operational adjustments and services
- Forecast staffing levels and work schedules
- Assign tasks and communicate shift times, check-in locations, and procedures
- Coordinate paperwork with the Admin team so workforce members are paid promptly
- Perform other assigned duties
Requirements
What you’ll need- Must have a 4-year degree or 3-5 years event management experience
- Must be able to work nights, weekends and/or holidays
- Must possess a valid state/province-issued driver’s license with current address and acceptable driving record
- Must be able to travel internationally and have a valid passport
- Must have experience using computer applications/systems including Google Workplace, Google Meet, Google Maps, Google Earth, Microsoft 365, Microsoft Teams, and Zoom
- Must have experience creating and maintaining budgets
- Must be able to multitask and work independently
- Must be detail-oriented, organized and have a strong sense of urgency
- Must have the ability to lead and motivate team members
- Must be enthusiastic about customer service and client satisfaction
- Must be able to respond positively to customer inquiries outside standard work hours across different time zones
- Must have strong analytical and interpersonal communication skills
- Must be flexible and able to adapt to changes, delays, or unexpected events
- Must be able to work with contract staff, temporary labor, volunteers, executive staff, and clients
- Must be able to work from home
- Must be available for at least 50% travel and expect to be on the road 1–2 weeks per month
- Must be able to stand for extended periods outdoors in varying weather conditions
- Must be able to lift at least 50 pounds
- Must be legally entitled to work in the United States upon application
- Must hold a valid passport
- Preferred: 5–7 years event or project management experience
- Preferred: Experience with generative AI tools such as Gemini or Claude
